Job Description:

The Assistant supports the daily operations of the Store Service Department by maintaining accurate documentation and facilitating efficient workflow. This role assists field technicians by managing work orders, tracking timekeeping entries, and maintaining detailed refrigerant usage records. The Assistant ensures the accuracy of departmental reporting, resolves incomplete or aging work orders, and contributes to department initiatives. Effective cross‑functional communication and coordination are key to ensuring smooth operations across the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The associate is responsible for the functions below, in addition to other duties as assigned:

Refrigerant & Regulatory Compliance

  • Maintain accurate refrigerant inventory records for all corporate refrigeration systems.
  • Use CMMS platforms to track inventory, usage, and service records; extract and format data for audit-ready documentation.
  • Track and report refrigerant costs, purchases, and usage; distribute information to internal departments as needed.
  • Submit accurate compliance data to federal, state, and local regulatory agencies.
  • Ensure complete traceability of refrigerant, documenting the location of every pound across the organization.
  • Maintain equipment-level data identifying where refrigerant is stored or utilized.
  • Work with contractors and vendors to reconcile refrigerant usage, costs, and inventory.

Administrative Operations

  • Process departmental payroll, validate technician hours, and resolve discrepancies.
  • Maintain documentation to support technician and supervisor bonus incentive programs.
  • Conduct GPS audits comparing payroll data with technician field activity.
  • Maintain work order status reports; follow up with vendors and technicians to resolve aged or incomplete work orders.
  • Manage and update vendor and contractor contact databases.
  • Provide courteous, professional communication by phone, email, and in person.
  • Organize and maintain complex department files; retrieve and analyze information for management needs.
  • Communicate with store teams and internal departments regarding scheduled work, contractor ETAs, completed service verification, and coordination updates.
  • Create and maintain spreadsheets, charts, and formulas—including V‑lookups and other moderate-to-advanced Excel functions.
  • Perform basic and multi-step math calculations when required.

Supervisory Responsibilities

This position does not have supervisory responsibilities.
