The Outside Service/ Facility Maintenance Coordinator will coordinate with the Facilities and IT Department to gather input to support ongoing business needs for ServiceNow configuration, implementation, and support. Supports department managers by maintaining reports needed to manage their business and financial activities as well as review their budget and projections.

Responsible for all outside services which include but not limited to (Trash Removal, Landscaping, Snow Removal, Parking Lot Cleaning, Cart Cleaning, Telephone Service, and Music). This represents approximately $7M million of P&L responsibility. Budgets, projects, and manages all outside services. Will also review and make recommendations for contracts for these services and be the point of contact for issues arising in these areas across the fleet. Will work closely with Facility Maintenance Manager to insure small equipment issues are resolved in a timely fashion. At times assisting Real Estate with property management issues with landlords and 3rd parties.

  1. Will be responsible to provide and maintain reports on a weekly basis from the Service Now

          platform for the Facilities Department Managers entailing (45) In-house technicians and (35) Outside

          vendors. There are 750 break/ fix calls on average each week being processed through ServiceNow

          that are assigned to the Facilities team. These reports will include (but not be limited to):

  • Drive time for each technician
  • Aged work orders by age, department, and technician or vendor.
  • Amount of time average work order takes to process through the sub-states until confirmed.
  • Number of work orders received on a daily basis.
  • Number of work orders closed on a daily basis.
  • Vendor Rankings based on several criteria within ServiceNow.
  • Projections for each department.
  1. Will be responsible to oversee all outside services across the entire fleet. Including but not limited to:
  • Trash Removal
  • Snow Removal
  • Landscaping
  • Parking Lot Sweeping
  • Cart Refurbishment
  1. Occasionally assist Real Estate with property management issues concerning outside services.
  2. Will assist Facility Maintenance Manager in reviewing small equipment issues and ensure they are resolved in a timely fashion.
  3. Will be responsible to implement asset management within Store Development once the company has developed the platform within our finance system.

Job Qualifications

  • High School diploma.
  • Three years experience working in a Construction / Maintenance Service environment or equivalent.
  • Good interpersonal skills and the ability to take direction from and coordinate all assigned work with department management, project managers & associates in related departments, ie Engineering, Purchasing, Store Support. Capability to analyze and solve coordination and maintenance issues with internal and external stakeholders.
  • Self-motivated.
  • Must have excellent work history including proven dependability.
  • Organized & detail oriented.
  • Possess good administrative skills & knowledge of office equipment
  • Required computer skills; Lotus Notes, Excel, Word & Project. A strong knowledge of Excel is necessary.
  • Self-Motivated.
  • Excellent follow-up skills.
