Overview

The Facilities Parts Coordinator is responsible for assisting in the timely procurement, inventory and flow of parts and materials needed for warehouse stock, store stock, store maintenance, emergency repairs, store remodels and new stores as needed.

  • Maintain and track inventory levels of parts and materials for the warehouse, service vans, stores and miscellaneous facilities as needed.
  • Track parts and material usage to determine the correct inventory levels necessary to support the facilities.
  • Determine the need to add or delete items from inventory based on request, usage, availability and input from the Service Supervisors.
  • Establish suitable sources of supply based on dependability, service and price
  • Generate purchase orders complete with proper account coding and the specified terms (FOB point, payment terms, etc.)
  • Maintain orderly files to support the procurement process( purchase orders, receiving slips, price quotations, emails, etc.)
  • Receive orders upon delivery and place in stock.
  • Distribute parts and materials to service technicians, stores and other facilities as needed and communicate arrival dates to all stakeholders.
  • Receive and process requests from Service Supervisors, Technicians, Store Management and others.
  • Pick up or deliver parts, fixtures, or equipment to store sites, parts supply warehouses, etc., when required
  • Investigate warranty and quality issues with suppliers and report on those issues as required.
  • Maintain and use manufacturers' literature and/or software to order parts.
  • Use Weis Markets files to research information necessary to order parts.
  • Make site visits when necessary to order parts, receive parts, or resolve issues regarding warranty, quality, suitability, etc., of parts.
  • Coordinate with all requestors and communicate with all necessary parties to keep them updated on the status of the request from "Request" to "Delivery verification".
  • Perform other duties as needed to carry out the responsibility of the job
  • Perform other duties as assigned by your supervisor.

Job Qualifications

  • High school diploma or equivalent and training or experience in the HVAC/R filed to perform the duties above.
  • Computer skills in MS Office products especially in Excel and Outlook to perform the required job duties.
  • Must have a working knowledge if MSDS, OSHA, equipment safety and tool safety.
  • Good reasoning, verbal and writing skills
  • Ability to prioritize multiple demands and to adjust priorities as conditions dictate.
