The primary purpose of this position is: accuracy and data entry of all aspects of cost and allowance activity, and set up of all new items that are accepted by the Category Teams via the Vendor community.  This includes funding types (billbacks, off invoice, scan and EM support), promotional contracts, costs, and the required regulatory data as needed by the states in which Weis Markets operates.  Investigating and resolving discrepancies, and other activities that impact accuracy at Store level.  Knowledge of all systems that support Category Management, Supply Chain, Pricing/POS and any future technology solutions/tools.  The incumbent is required to perform all tasks in a safe manner consistent with corporate policies and state and federal laws.

The associate is responsible for the functions below, in addition to other duties as assigned:

  1. Responsible for the setup and maintenance of all new items (Warehouse and DSD) that have been approved by the Category Teams. This includes following the business rules established by the subject matter experts to comply with all Regulatory laws (Tax, Food Stamps, WIC, age restricted products) in the states Weis Markets operates.  Knowledge of all required item attributes for perishable and non-perishable categories is required.  Verify UPC other package and/or case characteristics for new items entered into the procurement system.
  2. Responsible for all Bill back entry, which includes all Nonperishable and Perishable Departments, as required to comply with all required deadlines
  3. Entry of cost activity, including the HQ system and the relationship with the replenishment system.    Timely data entry of vendor contract paperwork to ensure accuracy and product availability down to store level and through accounting process.
  4. Research and resolve cost or allowance issues as well as pack issues working with the various Category Teams as well as the Third-party suppliers.
  5. Associate is responsible for the research and correction in HQ system utilizing the various Data Integrity reporting
  6. Determine if “shipper/pallet” cost is equalized with case billing in order to ensure the item bills properly via the HQ system, maintain the expected gross margin with both display and open stock.
  7. Responsible for the continual maintenance of product status, including the discontinuing of items, validating all allowances as well as current and future retails have been removed and keeping in compliance with all required deadlines relating to billing and new/discontinued items.
  8. Distribute needed communicate, working with Category Managers, to Store Operations in regards to New Item Codes that are replacing current item codes in order to assure there are no “Out of Stock” situations, UPC issues and not on files, as well as regulatory issues.
  9. Investigate, research, and resolve all data integrity issues required by store level inquiries.
  10. Handle inquiries from Accounting, Internal/External Auditors, Nonperishable/Perishable Category Teams, Operations, and others.
  11. Assist with interoffice mail distributions and other related activities. 
  12. Participate in any scheduled audit activity to insure accuracy of item level information, attributes and status.
  13. Answer the telephone to screen calls and either respond promptly to questions and inquiries or transfer the calls to the appropriate individual for action.
  14. Compile, copy, sort, file, and fax various documents; compose short letters or memos.

Job Qualifications

High school diploma or general education degree (GED), plus two (2) years’ experience in an office environment.
