The primary purpose of this position is to provide administrative support to the SVP, Real Estate and Development and VP Legal Affairs & RE and assist and support other members of the department as needed. The associate will act as an administrative point of contact for internal/external clients. The associate will maintain daily calendars for meetings and appointments for the SVP and VP and other department management (as needed). The incumbent is required to perform all tasks in a safe manner consistent with corporate policies and state and federal laws.
The associate is responsible for the functions below, in addition to other duties as assigned:
Prioritizing assignments and managing activity logistics, event scheduling and coordination.
Ensure databases are being accurately maintained.
Assist in the financial analysis of departmental spending and reconciles to period end reports provided by the Finance team.
Handle confidential information using judgement and discretion.
Preparing routine correspondence, legal documents and presentations using advanced knowledge with word processing related programs; efficiently proofreading and editing text
Collaborate with market research department on mapping programs.
Research and produce monthly, quarterly, and annual reports.
Schedule appointments, making travel and/or meeting arrangements and maintaining business calendars.
Demonstrate professional phone and email etiquette skills.
Maintain department PTO calendar.
Management of department conference room scheduling.
Complete and process expense reports.
Act as a resource for other administrative and executive assistants.
Purchase order input and processing.
Other general clerical support including but not limited to making copies, faxing, ordering department supplies, composing short letters or memos and file organization.
Preferred: Associates degree from an accredited college or university OR minimum of five (5) years of administrative support or office management experience.
