Overview

SUMMARY

The primary purpose of this position is to provide administrative support to the VP, Supply Chain and serve as the assistant to the entire department as needed.  The incumbent is required to perform all tasks in a safe manner consistent with corporate policies and state and federal laws.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The associate is responsible for the functions below, in addition to other duties as assigned:

  1. Coordinate heavy travel for VP.
  2. Coordinate with booking of meetings for VP and Supply Chain Managers.
  3. Schedule vendors to visit distribution center or schedule department meetings.
  4. Maintain department PTO calendar.
  5. Management of department conference room scheduling.
  6. Complete and process expense reports.
  7. Act as a resource for other administrative and executive assistants.
  8. Demonstrate professional phone and email etiquette skills.
  9. Handle confidential information using judgement and discretion.
  10. Purchase order input and processing.
  11. Receiving and directing visitors.
  12. Other general clerical support including but not limited to making copies, faxing, ordering         department supplies, composing short letters or memos and file organization.

Supervisory Responsibilities

This position currently has no supervisory responsibilities.

Qualification Requirements

To perform this job successfully, the associate must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required:

Education and/or Experience

High school diploma or general education degree (GED).  Minimum of two (2) years of administrative or office management experience.

Language Skills

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or associates. Ability to read, write, and speak English fluently.

Mathematical Skills

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

Reasoning Ability

Ability to apply common-sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

Occasional:

The ability to work weekends and extended days on a rare basis is helpful.

  • Regularly required to do the following activities:
  • Stand dynamically for long periods without a break.
  • Talk and hear; verbally express ideas, information or instructions.
  • Ability to type, pick or pinch with fingers to lift items.
  • Maintain balance while walking, standing or crouching.
  • Frequently required to do the following activities:
  • Remain seated in a normal position for long periods.
  • Twist upper torso.
  • Stoop, kneel, crouch, and/or crawl.
  • Occasionally required to do the following activities:
  • Lift up to twenty-five (25) pounds and carry a distance of twenty (20) feet.
  • Push and/or pull up to fifty (50) pounds a distance of ten (10) feet.
  • Specific vision abilities required for this job include:
  • Close vision (clear vision at 20 inches or less).
  • Color vision and the ability to identify and distinguish colors.
  • Adjustable focus.
