Overview

The Administrative Assistant provides high-level support to the Chief Operating Officer (COO) in handling a wide range of administrative and executive support-related tasks.  The Assistant will be a highly resourceful team-player, who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The associate is required to perform all tasks in a safe manner consistent with company policies, state, and federal laws.

ESSENTIAL DUTIES AND RESPONSIBILITIES

The associate is responsible for the functions below, in addition to other duties as assigned:

  1. Completes a broad variety of administrative tasks for the COO including; managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; copying, reviewing outside mail, scanning and filing documents, screening phone calls and visitors, updating Outlook contacts, maintaining executive files, arranging detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  2. Use discretion, confidentiality and independent judgement in connection with performing duties and responsibilities. 
  3. Anticipating the executives’ needs and proactively bringing together appropriate people and resources to support the executive in addressing these issues.
  4. Completes critical aspects of deliverables and special assignments by establishing objectives; determining priorities; managing time; gaining cooperation of others; monitoring progress; problem solving; making adjustments to plans.
  5. Represents the executives by welcoming visitors, arranging company dinners and other company functions; answering questions and meeting requests directed to the executive Store Support Center.
  6. Act as the COO's representative when dealing with internal customers and departments, outside community partners and other third parties that interact with the organization.
  7. Assists in coordinating the agenda of senior management team meetings and off-sites, and all staff meetings.
  8. Work with direct reports of the COO, may be required to travel to other locations.
  9. Prepare presentations and other materials for board and committee meetings and quarterly all staff meetings; collaborate with other Executive and Administrative Assistants as needed.
  10. Managing external contacts; proactively understanding who they are, who the primary contacts are, and keeping track of periodic communication needed for primary contacts.
  11. Ensure all phone calls and emails are answered and/or redirected accordingly in a professional manner; backup for phone coverage as needed.
  12. Prepare communications, reports and PowerPoint presentations for COO and other Executives and the organization as needed.
  13. Assist in community-focused events as necessary.
  14. Assist in other areas of the organization as needed.
  15. Perform other duties as assigned.

Job Qualifications

High school diploma or general education degree (GED) required. Minimum 3 years’ experience supporting an executive or previous secretarial experience required.
